Why send Shopify updates on WhatsApp?

Indian shoppers check WhatsApp far more often than email. Order confirmations, shipping updates and delivery notices on WhatsApp reduce "where is my order?" queries, and COD confirmation helps catch orders that were never going to be accepted.

What can a Shopify and WhatsApp workflow do?

  • Order confirmation with items, total and expected dispatch, as an approved utility template.
  • COD confirmation: a button to confirm or cancel. Unconfirmed orders are flagged for a call before dispatch.
  • Shipping and delivery updates with tracking links from your courier or aggregator.
  • Order-status answers: an agent looks up the order by number or phone and replies with live status.
  • Return and exchange intake, checked against your policy and drafted for approval.
  • Abandoned-cart reminders to opted-in customers. These are marketing messages, which cost the most.
  • Review requests after delivery.

How is it usually built?

  • A WhatsApp platform's Shopify app (many providers offer one) for standard notifications. It's quick and reliable for common events.
  • Custom workflows via Shopify webhooks and APIs with n8n or Make for non-standard logic, multiple stores or marketplaces, or approvals.
  • An AI agent layer for free-text questions and returns, with a stop rule.

Often the best setup combines a platform app for notifications with a custom agent for conversations. See agency vs platform.

How do you keep WhatsApp costs under control?

Since October 2026, service replies beyond the free allowance are charged. Send status updates as utility templates rather than duplicate service messages, answer order queries in one message, and avoid unnecessary nudges. See the pricing explainer.

What must a person approve?

Refunds, store credit, exceptions to return policy, and responses to complaints or chargeback threats. The agent prepares the case with order details and photos, and a person decides.

Illustration only, not a client project: A home-decor brand on Shopify. An order is placed with COD; the customer receives a confirmation template with Confirm and Cancel buttons. Two days later they ask "kab aayega?" (when will it arrive?) and the agent replies with the tracking link and expected date. A message about a broken vase triggers the return flow: a photo is requested and a replacement approval is drafted for the support lead.

What should you prepare before talking to us?

You don't need a technical brief. A useful first conversation needs only a few things, and gathering them is valuable even if you never work with us:

  • The process in plain words: what triggers it, who does what, and where it usually goes wrong.
  • Rough volumes: how many messages, orders, tickets or invoices per week. A one-week tally is enough.
  • Your tools: WhatsApp app or API, CRM, sheets, accounting or helpdesk software, including versions or plans where you know them.
  • Three real examples: typical messages or cases, plus one awkward one, with personal details removed.
  • What must never happen: the mistakes that would hurt most. These become the first lines of your stop rule.
  • An owner: the person who will review the workflow once it runs.

Send these on WhatsApp or by email, or run the pilot scorecard first.

How is the integration maintained after launch?

Integrations break quietly when a connected tool changes its API, a field is renamed, or a template is rejected. We design for that: workflows log every run, failures alert a named person, and anything that can't be processed lands in an exception queue rather than disappearing. Each pilot ends with a handover document that lists every system, credential owner, template and rule, so your team (or another developer) can maintain it.

You can choose to run the workflow yourselves after handover, or ask us to look after monitoring, template updates and small changes. Either way, your flows, prompts and data remain yours and can be exported. Third-party costs such as WhatsApp messaging, automation tool plans and AI usage are billed by those providers. We list them in writing up front, as explained on our pricing page.

How does a pilot with us work?

Every engagement follows the same four steps. Consult: you walk us through the process, the tools and where it breaks. Pick the pilot: we choose one workflow and write down its inputs, outputs, tools, stop rule and success measure. Ship: we build it into the tools you already use and test it on real cases. Review: your team checks what the agent did and what it escalated, then decides whether to tune it, expand it or stop. Read the full pilot process.

Questions

Do we need a custom build for basic notifications?

Often not. A platform's Shopify app may be enough. Custom work makes sense for conversations, approvals and multiple systems.

Does it work with marketplaces too?

Orders from marketplaces can be included where their APIs allow. We check during scoping.

Can it confirm prepaid orders too?

Yes. Order confirmations work for any payment method.
