Google Sheets and WhatsApp automation

For many small businesses, a Google Sheet is the CRM. Here's how to connect it to WhatsApp properly: reminders out, enquiries in, with the right safeguards.

Why use Google Sheets with WhatsApp?

Clinics, coaching centres, small manufacturers and service businesses often run their operations from a Google Sheet. It's flexible, free, shared and understood by everyone. Connecting it to WhatsApp gives you a lot of automation without asking anyone to learn a new system.

What can a Sheets and WhatsApp workflow do?

  • Send reminders from rows: appointment, fee, payment or service-due reminders using approved templates, triggered by a date column.
  • Log incoming enquiries as new rows with name, phone, need and timestamp.
  • Answer from the sheet: batch timings, job status, stock availability or appointment slots looked up live.
  • Update status columns from button replies such as "Confirmed" or "Reschedule".
  • Daily summaries to the owner on WhatsApp from sheet totals.

How do you set it up without breaking things?

  • Use the WhatsApp Business Platform (via a provider or the Cloud API). Unofficial "WhatsApp from Sheets" browser hacks risk getting your number banned.
  • Get templates approved for anything sent outside the 24-hour window. See policy and opt-in rules.
  • Add an opt-in column and only message rows marked as opted in.
  • Add a "sent" column with a timestamp so a re-run never sends duplicates.
  • Protect key columns so a stray edit doesn't trigger hundreds of messages.
  • Normalise phone numbers to +91 format.
  • Test on a copy with your own numbers first.

Which tools connect Sheets and WhatsApp?

Common options include your WhatsApp provider's built-in Sheets integration, Make or Zapier, n8n, or Google Apps Script calling the WhatsApp API. We choose based on volume, reliability needs and who will maintain it. See tool comparison.

When should you graduate from a sheet to a CRM?

When several people edit the same rows at once, when you need history per customer, when the sheet passes tens of thousands of rows, or when you need permissions by role. At that point, consider Zoho CRM or HubSpot.

Illustration only, not a client project: A physiotherapy centre keeps its appointments in a sheet. Every evening, patients with appointments tomorrow (opted in) get a reminder template with Confirm and Reschedule buttons. Replies update the status column, and "Reschedule" adds a row to the front desk's call list.

What should you prepare before talking to us?

You don't need a technical brief. A useful first conversation needs only a few things, and gathering them is valuable even if you never work with us:

  • The process in plain words: what triggers it, who does what, and where it usually goes wrong.
  • Rough volumes: how many messages, orders, tickets or invoices per week. A one-week tally is enough.
  • Your tools: WhatsApp app or API, CRM, sheets, accounting or helpdesk software, including versions or plans where you know them.
  • Three real examples: typical messages or cases, plus one awkward one, with personal details removed.
  • What must never happen: the mistakes that would hurt most. These become the first lines of your stop rule.
  • An owner: the person who will review the workflow once it runs.

Send these on WhatsApp or by email, or run the pilot scorecard first.

How is the integration maintained after launch?

Integrations break quietly when a connected tool changes its API, a field is renamed, or a template is rejected. We design for that: workflows log every run, failures alert a named person, and anything that can't be processed lands in an exception queue rather than disappearing. Each pilot ends with a handover document that lists every system, credential owner, template and rule, so your team (or another developer) can maintain it.

You can choose to run the workflow yourselves after handover, or ask us to look after monitoring, template updates and small changes. Either way, your flows, prompts and data remain yours and can be exported. Third-party costs such as WhatsApp messaging, automation tool plans and AI usage are billed by those providers. We list them in writing up front, as explained on our pricing page.

How does a pilot with us work?

Every engagement follows the same four steps. Consult: you walk us through the process, the tools and where it breaks. Pick the pilot: we choose one workflow and write down its inputs, outputs, tools, stop rule and success measure. Ship: we build it into the tools you already use and test it on real cases. Review: your team checks what the agent did and what it escalated, then decides whether to tune it, expand it or stop. Read the full pilot process.
